Billing

Vetilog integrates an automatic billing system connected to consultations, expertises and hospitalizations. Invoices are generated in one click and include exactly the acts recorded.

Billing Process

Billing follows a 3-step process: record acts → generate invoice → validate and send.

Bill from a consultation

This is the main flow. Each consultation can generate an invoice that automatically includes the acts recorded in the "Acts / Billing" section.

  1. Add your acts in the Acts / Billing section of the consultation card
  2. Validate the consultation (status → Validated)
  3. Click "Bill" — a draft invoice is created with all act lines
  4. Check and complete the invoice in Dolibarr if needed
  5. Validate the invoice and send it to the client
Tip: Tip: enter all acts before validating the consultation so the price shown on the card is accurate.
Note: The invoice is always created as a draft. You have time to review it before validating and sending it.

Invoice line content

Each act from the consultation becomes a separate invoice line:

  • Product: the VET-{CODE} Dolibarr service corresponding to the act — ex. VET-CONSULT, VET-ECHO
  • Label: the name of the veterinary act
  • Quantity: entered on the act line
  • Unit price: from the dictionary (editable)
  • Total: calculated automatically

Billed Owner

By default, the animal's primary owner is billed.

Multi-owner billing

If an animal has multiple owners, you select the owner to bill when creating the consultation. This choice determines which third party the invoice will be addressed to.

Prerequisites

For automatic billing to work correctly:

  1. Fill in the acts dictionary: Administration → Consultation Acts
  2. Click "Generate Dolibarr services" to create VET-* products
  3. Configure VAT rates if needed in the generated products
  4. Ensure every vaccine type, act and service has an associated service
